What are your rates?

Standard rates vary depending on the needs of the client - please call or email to obtain a quote and discuss how we might assist your office. 

We typically tie billing to output, so rather than an hourly rate, our standard billing is dictated by the volume of records reviewed, and by the size of the reviews produced.  We have found over time that this is the simplest, most quantifiable way to bill for our services. 

We would be happy to provide you with a full case review, free of charge (within certain parameters, of course), so you can see our high level of work firsthand. 

How does it work?

We schedule a time for pickups and drop-offs at your office each week.  This provides consistency and allows your staff to plan ahead.  A representative of the company will arrive at your office and pick up the records to be reviewed.  The records are brought to our main office, entered into a spreadsheet for tracking purposes, and thereafter reviewed according to your needs.  After proofing and editing the final document, reviews are emailed to your office (or to a transcriber, if you prefer).  The records are then returned to your office.

What's your turnaround time?  How fast will I have the reviews?

We strive for a 1-2 week turnaround for all reviews.  Many of our clients 'tier' the work, so we're aware of which reviews are time-sensitive, and which reviews are less so.  We understand that time constraints change and require flexibility.  In the event of unforeseen circumstances such as a rescheduled appointment or an accelerated hearing, we will prioritize specific reviews or schedule additional pickups/drop-offs to meet your needs and deadlines.

Do you perform 'Rush' work?

Of course.  Our normal turnaround is quite rapid and we prioritize specific reviews at a client's request, without any additional fee.  If faster service is required, depending on the size of the file and your particular needs, we can often turn around a review in 24-48 hours, and specific rush rates will apply. 

How do you handle invoicing?

Most of our clients utilize our services as an independent contractor.  We typically invoice clients every two weeks, for work done during that time period. 

How do you address security and privacy?

Confidentiality and privacy are paramount concerns.  The State of California and the Federal Government recognize our company, and we are fully insured.  Our reviewers are thoroughly vetted, and all of our personnel sign confidentiality and non-disclosure agreements.  We securely archive all of our reviews so they may be referenced in the event of supplemental  reports and/or future appointments. 

Why should I hire out for these services?  I have someone in my office who handles this!

The feedback we have received from clients over the years indicates that office personnel can maximize their time more efficiently when they are not responsible for reviewing medical records in addition to other daily tasks.  Time is a premium in most offices, and we can help you manage it more wisely by performing this necessary yet time-consuming function.  Further, reviewing medical records is all we do.  Our formats are tested and effective, and you can be assured of a high-quality product every time. 

Why should I hire you?  I already have a record reviewer!

Many of our clients have more than one reviewer.  It’s a prudent, practical approach that will mitigate problems should something happen to one reviewer, or in the event of a large influx of records.  We encourage you to consider working with us even if you already have a reviewer.  First, we have found that it is a good, practical idea to have a multiple reviewers in place, and to spread the work around so your office is not dependent on one entity.  Second, we are so confident in our product that we know you will be happy with the results, and with adding us to your team. 

I also need a transcriber - can you help?

While we do not provide transcription services, we work closely with several transcriptionists and will be happy to provide referrals and contact information.
